What portal automation actually means

Two directions of traffic, and both matter.

Leads inward. Every enquiry — form, call, WhatsApp — becomes a CRM record at the moment it arrives, carrying the listing reference, the portal it came from and the agent who owns that listing. Nobody re-keys anything. Nobody forgets.

Listings outward, or inward. Your inventory syncs in whichever direction matches how your team already works. If agents manage listings in the CRM, they publish out. If the portal is where the real inventory lives, the CRM reads back. We pick per brokerage, because forcing the opposite is the fastest way to have people work around the system.

The duplicate problem, and why it costs more than you think

Bayut and dubizzle share a network. The same buyer enquires about the same unit on both, often within minutes. Left alone that produces two records and two agents who each believe the lead is theirs.

The cost is not the duplicate record. It is the twenty minutes of management time settling it, the agent who quietly stops trusting the system, and the second call that makes your brokerage look disorganised to the buyer.

Portal leads decay faster than any other source. A buyer enquiring at 9pm on a Marina two-bed is enquiring on four listings, not one. How do you stop the same buyer creating two leads?

As part of a full brokerage build, six to ten weeks covers everything. Added to an existing, well-structured Bitrix24, the portal work alone is considerably shorter. If the underlying CRM is badly structured we will tell you before quoting, because connecting a high-volume feed to a messy pipeline just makes the mess arrive faster.
